Group Types
What kinds of groups do you run?
We run men-only, women-only, family, LGBTQIA+ and special-occasion departures — the last of these covering things like New Year trips and milestone celebrations. Each departure is planned around the group it is for, rather than being one generic itinerary sold to everyone.
Can I travel alone on a group tour?
Yes. A large share of our travellers join solo. You'll be placed with the group for all shared activities, transport and guiding. Rooming is usually on a twin-share basis; if you would prefer a room to yourself, a single supplement applies — tell us at the time of enquiry and we will quote it.
How big is a typical group?
Group size varies by destination and departure. It is confirmed on each trip page before you book. If a specific size matters to you, ask us before confirming — we would rather tell you upfront than have it be a surprise.
Can you organise a private trip for just my group?
Yes. If you have a family, friend circle, office team or community group, we can build a private departure around your dates and preferences instead of putting you on a scheduled one. Send us an enquiry with rough numbers and dates.
Booking
How do I book a trip?
Send an enquiry through the contact page or the enquiry button on any trip page. We'll confirm availability, answer your questions and share the full itinerary. Once you're ready, we collect traveller details and payment to confirm your seats.
What details do you need from each traveller?
For international departures we need, for every person travelling:
- Full name exactly as it appears on the passport
- Gender and date of birth as per passport
- Passport number, issue date, expiry date and place of issue
- Mobile number and an alternate number
- Email address and an alternate email
- Meal preference — vegetarian, non-vegetarian or Jain
We also ask whether you need us to arrange international flights and travel insurance, or whether you'll handle those yourself.
How far in advance should I book?
For international group departures, two to three months ahead is comfortable — it leaves room for visas, flight availability and better fares. Special departures such as New Year trips fill earlier, so book those as soon as dates are announced.
Do you book my flights?
You can choose either option. When you book, you tell us whether you need international flight tickets arranged or you'll book them yourself. If you book your own, make sure your arrival and departure times line up with the itinerary — check with us before ticketing.
Payments
What payment methods do you accept?
Internet banking, debit card and credit card. Payment appears as AXOM International Tours LLP on your card statement.
Are prices per person?
Yes, unless a trip page states otherwise. Prices are based on the local tariff at the time of quoting, converted at the prevailing exchange rate, and are subject to change until your booking is confirmed.
Will my bank charge extra?
Possibly. Your bank or card issuer may apply currency conversion or foreign transaction fees, which can make the final amount on your statement differ slightly from the figure shown at checkout. These charges are set by your bank, not by us.
Passports, Visas & Insurance
Who is responsible for my visa and travel documents?
You are. Ensuring that you meet all foreign entry requirements, and that your passport and visas are in order, is the traveller's responsibility. We will tell you what is needed and help with documentation, but we cannot accept liability if you are refused boarding or entry for missing or invalid documents — including for countries you're only transiting through.
Requirements change without notice, so verify with the relevant embassy or consulate before booking and again before departure.
How much passport validity do I need?
Most countries we travel to require at least six months' validity beyond your date of return, plus blank pages for visa stamps. Check the specific requirement for your destination with the relevant consulate — it varies, and it is the one thing that most often derails a trip.
Do I need travel insurance?
We strongly recommend a comprehensive policy, and you can choose to have us arrange it or purchase it yourself. Beyond medical cover, insurance may reimburse cancellation fees if you have to call off your trip — costs that would otherwise fall to you under our cancellation policy.
Do I need vaccinations?
It depends on the destination and on your own medical history. Health requirements change without notice, so consult your physician for current recommendations before travelling internationally, and verify entry health requirements with the appropriate consulate.
What's Included
What does the trip price cover?
Every trip page lists inclusions and exclusions in full. Typically the price covers accommodation, listed meals, transport, transfers and guided sightseeing as set out in the itinerary.
What is not included?
Unless specifically stated otherwise, prices exclude:
- Local taxes and use-fees — departure, security, port charges, park fees, customs, immigration and similar
- Tips and gratuities to tour managers, drivers and local guides
- Passport and visa fees
- Baggage and personal insurance
- Items of a personal nature
- Any food or beverages not listed under "Inclusions" on the trip page
Can you cater to dietary requirements?
Yes. We record vegetarian, non-vegetarian and Jain preferences for every traveller at the time of booking. If you have an allergy or a stricter requirement, tell us at enquiry stage so we can confirm what is realistic in that destination before you commit.
Changes & Cancellations
Can I change my travel dates?
If you request the change more than 15 days before your confirmed travel date, we do not charge a fee. Within 15 days, we will try to accommodate you, but an additional fee may apply. All changes depend on supplier availability, and special event, theatre and show tickets cannot be changed at all.
What happens if I cancel?
Cancellation fees depend on how close to departure you cancel:
- Before 20 days of departure — 30% cancellation fee
- Between 15 days of departure — 50% cancellation fee
- Within 7 days of departure — 100% cancellation fee

Can I get a refund once the trip has started?
No. No refunds are available once a tour or service has commenced, or for any accommodation, meals or services already used. This includes unused portions — leaving a tour early or skipping an included activity does not generate a refund.
What if you cancel or change my trip?
We reserve the right to cancel, change or substitute a service, and we will offer you alternatives if that happens. If you are dissatisfied with the alternatives offered, you are entitled to a full refund of the original purchase price.
On the Trip
Will there be a guide?
Yes. Our itineraries include English-speaking local guides for sightseeing, along with drivers and transfers as set out day by day in the trip plan.
What should I pack?
Every trip page carries a "things to carry" list specific to that destination and season. Some itineraries also have practical notes — for example, overnight cruise segments where you'll want a small overnight bag because cabin space is limited.
Who do I contact while travelling?
You'll have contact details for your tour coordinator and local ground team before departure, along with your day-by-day itinerary and hotel details.
